Regardless of season or location, a corporate event is a wonderful opportunity for bonding and strengthening relationships with employees and customers alike. Not to mention, it will be remembered for years to come, and it might put you on the radar of new customers.
Yet, actually planning an event seems like an immensely overwhelming task because there are many things to be done in such a short amount of time. But think positively, if you succeed you’re in for a ton of appreciation and recognition, and ultimately it’s gratifying to everyone.
If you’ve never organised an event before, and you’re feeling somewhat stressed, we recommend you take a deep breath because we’re here to help. What’s more, the ball will simply start rolling once you have a great plan and a to-do list.
How to Organise a Great Company Party
Below are some of the most important steps to consider when organising your first company party. Let’s get going!
Start by Writing Down
The best way to start planning is putting pen to paper. Write down the theme of the event, the purpose and what you want to achieve. Is it an Easter company party? Or a team-building event? Just write that down and you’ll see ideas will start flowing. A few things you have to give thought from the very beginning are:
- The theme
- The guest list
- The event date
Get some Volunteers
Most of the time, delegating tasks is an essential part of any job, let alone a big one like planning an entire party. So ask around the office if anyone has the capacity to help with some easy tasks. The benefit of this is that everyone will feel involved, and your workload will be lighter. You won’t feel as overwhelmed as before and things will run smoother. So don’t shy away from appointing some volunteers, if need be.
Decide on a Location
The first essential task of the actual planning stage, is deciding on a location. Is your office a good spot, or would you have to book a venue to fit all the people? You also have to account for a dancing ring or a talking corner where people can quietly chat. Research venue in the proximity and book one as soon as possible.
Hire Caterers
Regardless of who the guest are, or where it’s taking place, food is essential. People will be hungry and if the company does not offer at least some starters, people might leave the party in search of sustenance. Make sure you hire a good catering company which can put together some small but delicious starters or hot dishes. Don’t forget to ask them to bring their own plates and cutlery, in case you don’t have any.
Send the Invitations
You obviously need to let the guests know when and where to come. If this is an event for employees, then send an email invite. If it’s a corporate event for clients, then invite them verbally. Regardless of who it’s meant for, send the invitation in advance so that you have as many attendees as possible.
Prepare the Corporate Gifts
You can’t have a company event without goodies. Depending on the budget or the recipient of the presents, you can prepare a cute giveaway or a more consistent corporate gift that includes a branded water bottle, a branded notebook and/or corporate branded hoodies. Either way, everybody loves free giveaways, so this is an essential step that will make the event memorable.
Other Things to Consider
Although not essential, there are a few other things you might want to consider:
- Prepare an Ice-Breaker - To loosen up and warm up the atmosphere, you can prepare an ice-breaker question or game
- Sponsors - You can ask different companies to sponsor the event and in turn, you can promote those companies
- Speakers - You can invite key speakers that will engage the audience
- Plan Activities - Whether it’s a game or a networking activity, you can prepare something fun for the attendees
- Decorations - If it’s a thematic event, then of course you have to decorate. For instance, you can’t have a Halloween or Christmas party without decor
- Play List - Of course you have to have some sort of music, so make sure the playlist is for all tastes

- Double Check - simply check the delivery date on the right side and if everything looks good, then add to cart
- Checkout - you need to upload your company’s logo now so that we can brand the items for you
